Who we are
Learn AI operates Learn AI Island, a learning and community hub for Learn AI programmes. In this policy, “we”, “us” and “the island” refer to Learn AI and Learn AI Island. This notice supports the privacy principles and data-subject rights in South Africa's Protection of Personal Information Act, 2013 (POPIA).
02 · THE INFORMATION
What we handle
Guest progress and preferences
Your guest passport, explored modules, quest and milestone progress, tool confidence, comfort settings, recent routes, focus sessions and private workbench drafts are stored in your browser. They do not reach our server unless a feature clearly asks you to sign in and sync, submit, or export them.
Account and passport details
We keep your display name, email address, sign-in provider identifier and synced learning passport. New sign-ins use Google, Microsoft or ChatGPT, so we do not set or store a password for you. Accounts created with an email password before 13 September 2026 still have their salted password hash stored until it is cleared; it can no longer be used to sign in. Sign-in providers do not give us your chats, files or account password.
Private learning records
We may keep journal entries, uploaded learning resources, gathering reservations and the private email that links submissions to their owner. Passport, journal and reservation details are not displayed publicly.
Community contributions
Signal Board posts, Trail Crew profiles, project stories and gatherings can include a public alias, the content you enter and an optional public contact or project link. Glossary suggestions contain the proposed wording and note; that form does not ask for your name or email.
Our hosting and security providers may also process basic technical request data, such as an IP address, browser information, timestamps and error or security logs, so the service can be delivered and protected.

We process information to provide the service you ask for, with your consent where a feature asks you to publish or share something, and where necessary for legitimate operational and security purposes. We do not sell personal information or use it for behavioural advertising.
04 · PUBLICATION BOUNDARY
What can become public
May be public after review
Your chosen alias, approved community post, Trail Crew profile, project story, gathering details, and any link you deliberately include.
Kept private
Your account email, sign-in identifiers, any retained password hash, private passport, journal, reservation identity, and submission-owner email.
Community submissions are moderated before publication. Please do not submit client information, confidential documents, access codes, home addresses or other people's personal information. If you follow a public link to another service, that service's privacy terms apply.
06 · SERVICE PROVIDERS
Who helps deliver the island
Google, Microsoft and OpenAI process sign-in requests only when you choose their sign-in option. OpenAI Sites and Cloudflare provide hosting, database, file-storage and security infrastructure. These providers process information under their own privacy terms and may process it in countries outside South Africa, where different data-protection rules may apply.
We may also disclose information if required by law, to protect learners or the service, or as part of a business change with appropriate safeguards. We do not give providers access to information they do not need for their role.
07 · CARE AND RETENTION
How long we keep it and how we protect it
We keep account, passport and submitted information while it is needed to operate the service, support moderation, meet legal duties or resolve disputes. Authentication sessions expire as described above. You can delete many of your own journal, project, gathering and Trail Crew records in the relevant island feature, or ask us to remove other account-linked records. Some backups and legally required records may take a reasonable time to be removed.
We use access controls, secure cookies and hashed session tokens to protect account information. No online service can promise absolute security, so keep your provider account secure and avoid placing sensitive information in public submissions.
08 · YOUR CONTROL
Your choices and POPIA rights
You can:
- use all public routes as a guest without creating an account;
- sign out, clear local browser data, or move guest progress with an Expedition Pack;
- edit or delete records where the island provides those controls;
- ask whether we hold personal information about you and request access to it;
- ask us to correct, update or delete inaccurate or unnecessary personal information;
- object to certain processing or withdraw consent where processing relies on consent; and
- complain to South Africa's Information Regulator.
We may need to verify your identity before acting on a request so that we do not reveal or delete another learner's information.

For a privacy request, contact Learn AI using the contact details supplied with your course or organisation, or use the public contact channels on the Learn AI website. Describe the Learn AI Island record or account involved and the change you are requesting.
We may update this policy when the service or legal requirements change. The date at the top will show when the latest version took effect.
